Workflow

  1. A workflow management system is a computer system that manages and defines a series of tasks within an organization to produce a final outcome or outcomes.
  2. Workflow Management Systems allow you to define different workflows for different types of jobs or processes. So, for example, in a manufacturing setting, a design document might be automatically routed from designer to a technical director to the production engineer.
  3. At each stage in the workflow, one individual or group is responsible for a specific task. Once the task is complete, the workflow software ensures that the individuals responsible for the next task are notified and receive the data they need to execute their stage of the process.
  4. Workflow management systems also automate redundant tasks and ensure uncompleted tasks are followed up.
  5. Workflow management systems may control automated processes in addition to replacing paper workorder transfers. This is the concept of dependencies. A workflow management system reflects the dependencies required for the completion of each task.

The description above taking literally from Wikipedia describes exactly the functions of YEMO Traffic. Let’s take the same sequence to explain the workflow principles of YEMO Traffic:

  1. YEMO Traffic is taking creative productions (ads, banners, brochures, pages, etc.) step by step through different stages. Starting with a project (or ad booking) followed by briefing and searching for assets. Thereafter the production starts, followed by quality assurance and tools to move the final output to the next step (printer, pagination server).
  2. Depending on the purpose the workflow has more of fewer steps. This is arranged dynamically on basis of inputs by the user or certain parameters. For example a PDF has a different routing that a flash banner.
  3. When for example the designer has completed his task, he loads the results into YEMO Traffic and automatically the task is moved to the next stage. The update is shown in the orderlists and/ or tasklists. If required email notifications are sent.
  4. A workflow must flow, so there are controls that ensure, that when certain tasks are not completed in time, escalations or notifications are sent. In cases with tight deadlines, tasks are moved automatically to the next station after passing the deadline.
  5. YEMO Traffic supports a paperless work process and workflow supporting dashboards and reports make the process completely transparent. It is always clear who is working (or not working) at what production.
